1. Personal Assistant / Management Assistant Officer

Major Responsibilities:

  • Schedule and update the Director’s and Deputy Director’s calendar of appointments.
  • Organise and arrange logistics for meetings and appointments.
  • Prepare meeting files and take notes when necessary.
  • Arrange and handle preparation for the Director’s and Deputy Director’s overseas travel.
  • Provide hospitality to visitors and guests.
  • Assist to organise and maintain an accurate and proper filing system and records for easy retrieval.
  • Assist the events manager in the running of the event proceedings.
  • Assist the finance manager in reimbursements, payment and invoicing matters.
  • Assist in providing hospitality to visitors and guests.
  • Assist in any other ad-hoc duties assigned.
  • Covering duties as receptionist when necessary.

Qualifications & Requirements:

  • Diploma in a relevant field.
  • Experience in secretarial work.
  • Good interpersonal, written and oral communication skills.
  • Pleasant character, calm and professional working attitude.
  • Competent in the use of Microsoft Word, Excel, PowerPoint and Outlook software programs.
  • Preference will be given to candidates who can start immediately.

2. Finance Manager / Finance Executive

Major Responsibilities:

  • Prepare budgets for research projects and programmes.
  • Process financial transactions, including payments from and to the Centre.
  • Track expenditure and prepare periodic financial reports.
  • Prepare procurement orders, liaise with vendors, and formally receive goods/services rendered.
  • Liaise with relevant university departments and external agencies on finance/administration matters.
  • Supervisory or covering duties when required.

Qualifications & Requirements:

  • A degree with minimum 2 years (finance or accounting qualifications would be an advantage but not essential)
  • Experience in administration or business management, including financial transaction/accounting responsibility
  • Good interpersonal, written and oral communication skills
  • Responsible, meticulous, motivated individual.
  • Competent in the use of Microsoft Word, Excel, PowerPoint and Outlook software programs. Experience with GeBiz and SAP would be advantageous.
  • Preference will be given to candidates who can start immediately.
